Problem

The iDAP evaluation system’s spreadsheet format was inefficient, making navigation, collaboration, and data entry cumbersome. Users struggled with excessive scrolling, version control issues, and lack of role-based filtering. These challenges slowed down evaluations, increased errors, and created administrative overhead, reducing team productivity and delaying decision-making. Key Points: - Inefficient Spreadsheet Format: Navigation, collaboration, and data entry are difficult due to excessive scrolling, version control issues, and lack of role-based filtering. - Productivity Impact: Slows down evaluations, increases errors, and adds administrative overhead, delaying decision-making. - Project Goal: Create a web-based iDAP Navigator to streamline workflows, enhance collaboration, and reduce errors. - Success Metrics: Faster evaluations, fewer manual entry mistakes, and higher user satisfaction within six months.

Solution

The purpose of the iDAP Navigator project was to replace the inefficient, spreadsheet-based evaluation system with a streamlined, web-based platform that enhances usability, improves collaboration, and reduces administrative overhead. We conducted a survey with 25 previous iDAP users, primarily those using the latest spreadsheet version. The survey identified key pain points and usability challenges in the current system. To gain deeper insights, we recruited participants for further research, including structured focus groups and user interviews. By conducting UX research, we identified critical pain points, user needs, and workflow challenges to inform a solution that enables teams to navigate, respond, and collaborate seamlessly while maintaining accuracy and efficiency. This kickstarted the project's roadmap that guided the build team to ship the tool it is today, which has been reported to have significantly increased efficiency in the internal review process.
